Step-by-Step: To Access the Web Librarian

  1. Go to your Alexandria Web page.
  2. Log in with the operator username and password that you use to open Alexandria.
  3. This will open the web Librarian window.
    or
  4. In your default web browser's URL address bar, input the “ IP address:<port>/login ” or “ IP address:<port>:<serial number>/login ” and press enter.


The Web Librarian

Users who have licensed use of Alexandria's Librarian will have the ability (if their security level permits) to run certain utilities, reports, and change preferences for the Data Station over the world wide web. However, operators attempting to access these features must have the proper Administrator-level type Security permissions.

There are two ways for an operator to access the web Librarian window. The quickest way is to click Log In from the Researcher's main header bar. The Log In window also appears when you put in your http address bar, input the “IP address:<port>/login” or “IP address:<port>:<serial number>/login”.

First, an operator must identify themselves at the Log In window by entering their Username and Password. Login information is never shown on the screen, all you will see are filler characters or asterisks.

After the initial ‘log in’ you will see the Librarian window; it is remarkably similar to Alexandria's installed Circulation window.

In fact, for the most part, the web Librarian follows the same basic functionality as Alexandria's main Circulation window (e.g. you can remotely bookdrop, check out, etc). To learn some of the basic operations of the Librarian, please review the Circulation Window.

Using the tabs found on the Librarian's version of the Circulation window, operators are able to remotely check out books to patrons, perform bookdrops, run a selected range of reports, perform Data Station utilities (e.g. rebuild, archive, upgrade, check resources), check Data Station status reports (e.g. number of connected users, system analysis, database statistics), and change your Alexandria System Preferences.

Having the ability to access these vital Data Station utilities, statistics, and system preferences from any computer with internet capabilities proves invaluable in times of crisis.

  • Command Help tab—The Librarian's Command Help section follows the same basic functionality as Alexandria's Command Help tab; to learn the basic operations of this tab, please review the Circulation window's Command Help tab.
  • Holds tab—The Librarian's Holds tab follows the same basic functionality as Alexandria's Holds tab; to learn the basic operations of this tab, please review the Circulation window's Holds tab.
  • Reservations tab—The Librarian's Reservations tab follows the same basic functionality as Alexandria's Reservations tab; to learn the basic operations of this window, please review the Circulation window's Reservations tab.

  • Items—The Librarian's Item Management section follows the same basic functionality as Alexandria's Item Management window; to learn the basic operations of this window, please review the Item Management section.
  • Patrons—The Librarian's Patron Management section follows some of the same basic functionality as Alexandria's Patron Management window; to learn the basic operations of this window, please review the Patron Management section.
  • Reports—Allows you to run a small selection of item and statistic reports over the internet. Choose a library (for District Librarian users) and a report to generate from the drop-down menu and click Run to continue. The Librarian's Reports section follows the same basic functionality as most of Alexandria's ‘report’ windows; to learn the basic operations of this window, please review the Reports section.
  • Utilities—Depending on what you select as default in Alexandria's Web Setting preferences[1] will determine which set of utilities appear when you select Utilities on the Librarian. Certain Data Station Utilities (Force Database Rebuild, Force Database Archive, Force Data Station Upgrade, Force Data Station Resource Check) and Data Station Status (Number of Users Connected, Quick Database Statistics, Data Station Status) selections will appear in the web Librarian; to learn the basic operations of this window, please review the Utilities section.
Enhanced Utilities shows up-to-the-minute connection, data, and Data Station statistics and real time progress during utilities, rebuilds, archives, and upgrades; because these are up-to-the-minute, they use Java—please be patient if it takes some time to retrieve your Data Station information.
Standard Utilities will just ask you to wait before retrying the web service; no real time progress is displayed.

  • Inventory Helper—To learn the basic operations of this window, please review the Inventory Helper window.

  • System Preferences—If your security level permits, you are able to remotely change your Data Station's system preferences; Administrator-level type operators are given the same options as those found in Alexandria's main System Preferences window.
  • Operator Preferences—If your security level permits, you are able to remotely change your Data Station's system preferences; Administrator-level type operators are given the same options as those found in Alexandria's main Operator Preferences window.
  • Researcher—Choose the library you'd like to search using Alexandria's on-line Researcher Workstation; especially useful to those who have a District Librarian license. Selecting Researcher opens the Researcher Workstation in your operating system's default browser. To learn the basic operations of the Researcher Workstation, please review the Researcher section.
